Office Administrator—Maine Coast Roofing
Belfast, Maine | Full-time | $18-$22/hour
This is the person who keeps everything moving. You'd share an office with Kayla and be the first voice most of our customers hear—from the moment a homeowner calls about their roof to the day our crew shows up.
What you'd do:
Be the front door of the business
Most of your day is communication. When a homeowner reaches out, you're who they talk to, and you're the one making sure their experience with us feels organized and personal from the very first hello.
Answer incoming calls, texts, and emails from homeowners
Set initial appointments and follow up on leads
Send contracts and prep folders for sales appointments
Make sure nothing falls through the cracks between first call and install day
Run the schedule
Once a project is sold, there are a lot of moving pieces to coordinate. You'd be the one lining them up and keeping the team in the loop.
Schedule onsite appointments, installations, material orders, and dumpster drop-offs
Send out a weekly schedule to the team with openings, availability and scheduled installations
Keep the team informed on what community events are coming up
Keep records and paperwork in order
This is the behind-the-scenes work that keeps the business running cleanly. It's not finance work—it's record-keeping, reconciliation, and gathering what Kayla needs to run payroll each week.
Invoice customers and record payments as they come in
Check in with the team weekly to collect hours, mileage and out of pocket expenses
Submit product warranties after installs
File paperwork and match receipts to invoices
Keep the office running
You'd also keep the office itself in good shape—stocked, organized, and ready for the week ahead.
Order supplies and manage the supply budget
Keep the space clean and welcoming
Send an end-of-week status report so we all start Monday on the same page
Help us show up in the community
A few times a year, we get out from behind the desk for home shows, local markets, and other events. You'd help plan them and sometimes work them with us.
Who we're looking for:
You don't need roofing experience. We'll train you on anything specific. What matters most:
Warm and easy on the phone—most people calling are stressed about their roof, and we want them to feel like they called a neighbor
Genuinely organized—you don't need fancy systems, just follow-through
Comfortable juggling—a lead comes in while you're filing receipts while a crew needs a dumpster moved
Comfortable with computers and willing to learn our software (JobNimbus, Slack, Google Workspace, Squarespace, Canva, etc.)
Local to the midcoast—this is an in-office role at 7 Front Street

Position Purpose and Objectives
The Roofing Sales Representative is responsible for generating leads, presenting roofing solutions, and closing sales for residential and commercial roofing projects. This position requires strong communication skills, self-motivation, and the ability to consistently meet or exceed sales goals while representing the company with professionalism and integrity.
Specific Duties, Functions and Responsibilities
Generate new business through prospecting, networking, and referrals.
Attend 2 networking events per month
Follow up on company-provided leads and set appointments.
Conduct roof inspections, document conditions, and provide accurate estimates.
Educate customers on roofing systems, warranties, and financing options.
Prepare and present professional proposals/contracts to homeowners and business owners within 2 business days
Manage customer relationships from initial contact through signed contract and production handoff.
Meet with homeowner and team at kick off of sold job.
Maintain accurate records of sales activity in the CRM system.
Participate in sales meetings, training sessions, and community events.
Collaborate with office and production staff to ensure smooth project transitions.
Represent the company brand with professionalism, honesty, and customer-first service.
Required Knowledge, Skills and Abilities
Strong interpersonal and communication skills.
Ability to effectively present solutions and close sales.
Knowledge of residential and/or commercial roofing systems (preferred, but training provided).
Competency with tablets, phones, and CRM software.
Ability to climb ladders and inspect roofs.
Strong organizational and time-management abilities.
Valid driver’s license and reliable transportation.
Education and Experience
Essential:
High school diploma or equivalent.
English fluency.
OSHA 10-hour certification (or willingness to obtain).
Sales or customer service experience.
Preferred:
Roofing or construction sales experience.
Bilingual fluency.
Familiarity with local building codes.
Physical Requirements
(Use same chart style as Estimator/Project Manager document to customize bending, lifting, climbing, etc. – recommend including ladder climbing, roof walking, carrying up to 50 lbs, frequent standing, walking, and outdoor environment exposure.)
